Privacy Policy

This is the Privacy Policy for the World Association of Zoos and Aquariums (hereinafter mentioned “WAZA”).This Policy applies only to information collected through our website.

We are committed to protecting your privacy and maintaining the security of your personal information.

Any personal information you provide to us will be treated in accordance with this Policy and all applicable data protection laws (current EU Data Protection Laws and General Data Protection Regulation (GDPR), (EU) 2016/679).

WAZA hereby commits to the key GDPR principles, namely:

  • to process your personal data lawfully, fairly and in a transparent manner;

  • to process your data if, and only if, there is a specified, explicit and legitimate purpose, for which the personal data was originally collected. Our members will sufficiently be informed regarding the processing of their personal data.

  • to collect the absolute minimum of personal data in relation to the purpose for which they are processed;

  • to take every reasonable step to ensure that personal data are always kept up-to-date and that inaccurate personal data will be erased or rectified without delay;

  • to take security measures which ensure protection against unauthorized or unlawful processing. Any modification of personal data will be ensured by WAZA’s authorized persons.

  • to retain your personal data only as long as they are necessary. Once the purpose for which they were collected has been fulfilled, your personal data will be deleted. For purely statistical purposes, your personal data may be stored for longer period.

Type of personal information we collect

Personal data means any information which can be used to identify you, directly or indirectly, such as your name, date of birth, gender, e-mail address, postal address, contact details. You may, however, visit our website anonymously.

Uses of personal information

We collect personal information when you ask about our activities; register with us (such as for a membership or events); respond to a survey or marketing communication, surf the website or otherwise give us personal information.

In particular, as far as it concerns our newsletters and other marketing communications, the lawful justification for our existing Members is that you have given consent for your personal data to be used for this specific purpose for same or similar products and you have been given a clear chance to opt out of getting marketing emails or texts when your details were first collected, and in every message. If you have thus opted-in (soft opt-in) to receive our e-mail newsletter, we may send you periodic e-mails.

You have however always the possibility to control your personal data. If you would no longer like to receive emails from us, you can also unsubscribe from WAZA’s marketing communications by sending us an e-mail to communications@waza.org with the subject ‘Unsubscribe’. If you have not opted-in to receive e-mail newsletters, you will not receive these e-mails. For our new Members, a clear and concise consent message will be required, in order for WAZA to collect and use your personal data for providing marketing material. In order to administer the activities we provide, your personal information may also be shared with our WAZA partners involved in administering WAZA memberships, processing other registrations to events or contacting you with updates on our work. Your details will be used to keep you updated with our work.

WAZA does not transfer to outside parties your personally identifiable information unless we provide you with advance notice. We may release your information when we believe release is appropriate to comply with the law.

Duration of storage of your personal data

WAZA commits to keep your personal data information for marketing communications for a period of two years, from the time the last newsletter or other marketing communication was sent. After two years, all of your personal details will be removed from our systems.

As described above, when you have expressed your wish to unsubscribe, you will not receive any marketing communication. However, WAZA will keep this information about your wish to opt-out until you instruct us otherwise. This way, we ensure that we don’t send you any further marketing communication.

List of your fundamental data subject rights

Under the new GDPR, you have the following main data subject rights:

  • Right to access your personal data This right enables you to know whether data concerning you are being processed.

  • Right to rectification in case of inaccurate or incomplete personal data, right to erasure (“right to be forgotten”), in which case personal data will be erased upon request.

  • Right to restriction or suspend the processing, where you can object to the processing of your personal details where it is justified

  • Right to complaint

  • Right to be informed

  • Right to data portability, where you can receive personal data you have provided in a structured, commonly used and readable format and you can ask your data to be transferred to another IT environment in a safe and secure way.
  • Right to object to decision-making based on purely automated processing.

  • Right to withdraw your consent at any time

Use of Cookies

Cookies are small piece of data sent from a website and stored on your computer by your web browser while you are browsing. Cookies enables the site’s or service provider’s systems to recognize your browser and capture and remember certain information.

For the time being, we do not use any cookies in our WAZA website. We encourage our Members and visitors to visit regularly our website, as a Cookies Policy will be immediately uploaded, if need be. Our Privacy Policy will be modified accordingly.

Protection of our visitor information

When we collect your personal information, we use secure IT networks to prevent or at least minimize as much as possible the unauthorized access. As described above, only a limited number of WAZA persons are given special access rights to such systems and are required to keep the information confidential.

Children being identified as “vulnerable individuals” deserve a specific protection. For any service we offer to minors, we kindly request their parent/guardian’s consent before providing any personal information.

Modification of our Privacy Policy / Notice

WAZA may update this Policy from time to time. The updated version will be published on our website with a mention “Last updated on ” and will be considered as entered into force on the date of publication. Our Members will be informed of any changes to this Policy by e-mail. For all other visitors, we welcome you to visit our website from time to time and keep updated on any change to this Policy. The current Policy was first entered into force on May 24th, 2018.

This Privacy Policy does not cover the links within our website linking to other websites. We encourage you to read the privacy statements on the other websites you visit, as they vary by service provider, thus have separate and independent privacy policies. WAZA bears no responsibility or liability for the content and activities of these linked sites and their privacy notices.
